Privacy policy

Last updated: 17 September 2026. This policy explains how The Fleet Lab Ltd (“we”, “us”) collects and uses your personal data when you use this website or enquire about our services. We are the data controller for that information.

Who we are

The Fleet Lab Ltd, 91 Rhyd-Y-Penau Road, Cardiff CF23 6PZ. Company No. 16976022, registered in England & Wales. We are an appointed representative of Commercial and Asset Finance Ltd, which is authorised and regulated by the Financial Conduct Authority (FCA Registration No. 729014). We act as a credit broker, not a lender.

What we collect

  • Details you give us through the enquiry form: your name, email address, phone number and any message.
  • If you send a finance proposal: your company’s details and, for each director, date of birth, home and previous address, contact details and homeowner status, plus your bank name, sort code and account number. These are emailed to our team and stored encrypted on our systems, where only our team can view them.
  • Information you provide when you call, email or message us on WhatsApp.
  • Basic technical data needed to keep the site secure (for example, the IP address of a form submission, used for spam protection and abuse prevention).

If, and only if, you accept measurement and advertising cookies, we also receive data about which adverts and search terms brought you here and whether a visit led to an enquiry. Decline and none of that is collected. See our cookie policy for the detail.

How we use it and our lawful basis

  • To respond to your enquiry and provide brokerage services, on the basis of taking steps at your request before entering a contract, and our legitimate interest in running our business.
  • To arrange finance on your behalf, which may involve sharing your details with lenders and our principal firm, where you ask us to source terms for you.
  • To keep records and meet our legal and regulatory obligations as an FCA appointed representative.
  • To protect the site from spam and abuse, our legitimate interest in security.
  • To understand how the site is used, through visitor statistics that use no cookies and do not identify you, our legitimate interest in improving the site.
  • To measure how our advertising performs and how visitors use our pages, only where you have given consent through the cookie banner. You can withdraw that consent at any time, as described in our cookie policy.

Who we share it with

We share your information only where needed to provide our service: with lenders and funders when you ask us to source finance, with our principal firm Commercial and Asset Finance Ltd, and with service providers who help us operate (for example our email provider, Brevo, and Cloudflare, which provides the spam protection on our form). As our Terms of Business set out, arranging finance and vehicles can also mean sharing your details with credit reference agencies, vehicle dealers and, where a vehicle is registered, the DVLA. Our web developer, Web Cardiff, hosts the Plausible Analytics service that counts visits without cookies. Where you have accepted measurement and advertising cookies, Google also receives advertising measurement data through Google Tag Manager, and Microsoft receives page usage data through Microsoft Clarity. Google and Microsoft may process that data outside the UK, including in the United States, under the safeguards described in their own privacy policies. We never sell your data.

How long we keep it

We keep enquiry and client records for as long as needed to provide our service and to meet legal and regulatory requirements, then delete or anonymise them. Client records are kept for 6 years after our service ends, to meet FCA requirements.

Your rights

You have the right to access, correct, delete or restrict use of your personal data, to object to certain processing, and to data portability. To exercise any of these, contact us at contact@thefleetlab.co.uk. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
